Who we are
SEKHN is a healthcare marketing and automation agency in Sydney, NSW, operated by Rytasha Kaur Sekhon (ABN 89 796 160 484). In this policy, "SEKHN", "we" and "us" mean SEKHN. We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
For any question about this policy or your information, email info@sekhn.com.
What we collect on our website
When you send an enquiry
The contact form asks for your name, email address, phone number, type of business, how you would like us to contact you and your message. With it we record:
- the page you sent it from and your browser type
- how your visit started: the first page you opened, the website that sent you, any campaign tags in the link, and Google's click ID if you came from a Google ad
- the random visitor ID our analytics gives your browser (see When you browse the site)
We save the enquiry, add it to our client system as a new lead, alert our team and email you a confirmation.
When you use the chat assistant
The chat on our pages is an AI assistant. It answers from the text of our website and can open our booking calendar. For each conversation we keep:
- what you type, what the assistant replies, and the page you were on for each message
- whether you tapped a suggested question, saw the booking calendar or booked a call
- when the chat opened and closed, and whether you typed a message and left without sending it (we note that it happened, but not what you typed)
- how your visit started (as for enquiries), your browser type and your analytics visitor ID
- your approximate location (country, state and city), worked out from your IP address
- a scrambled form of your IP address that changes every day, used to limit how many messages one connection can send. We don't store the address itself.
Your messages go to Anthropic, the company that makes the Claude AI model, so it can write the replies. While your browser tab is open, the conversation also stays in your browser so it follows you from page to page. Please don't type health details or other sensitive information into the chat.
When you sign up for our newsletter
We keep your email address, the page you signed up on, the consent wording shown next to the sign-up box and your analytics visitor ID. We send you a welcome email and then the monthly newsletter. Every email has an unsubscribe link. If an email to you bounces or is marked as spam, we record it and stop sending.
When you book a call
Calls are booked through Calendly. Calendly collects your name, email address and your answers to the booking questions, and passes the booking to us. The booking links on our site carry tags that tell us which page and button you used, plus your analytics visitor ID, so we can see how the booking came about.
When you browse the site
We run our own website analytics. As you use the site, your browser sends us:
- the pages you view, their titles and the website that sent you
- any campaign tags and Google ad click IDs in the link
- your screen width and whether you have visited before
- how long each page was on screen and how far down you scrolled
- the links and buttons you click: their words and where they go
Our system adds your approximate location (country, state and city) and your device, browser and operating system, worked out from your IP address and browser details. We don't store the IP address.
To tell new visitors from returning ones, we keep a random visitor ID in your browser's storage. It holds no name or contact details. It is linked to you only if you send an enquiry, sign up or book a call from the same browser, which lets us see the pages you read before getting in touch. If your browser blocks storage, we use a scrambled code made from your IP address and browser details instead, which changes every day.
We also use two outside analytics services:
- Google Analytics records page visits and actions such as clicking to book a call, email or phone us, sending the contact form and using the chat. It uses cookies. You can block it with Google's opt-out browser add-on.
- Vercel Web Analytics counts page visits without cookies.
Our pages load their fonts from Google Fonts, so your browser connects to Google, which sees your IP address. Our website host, Vercel, also processes your IP address to deliver the pages.
Cookies and browser storage
| Name | Type | What it does | How long it lasts |
|---|---|---|---|
sekhn_vid | Browser storage | Random visitor ID that tells returning visitors from new ones | Until you clear your browser's data for our site |
sekhn_sess | Browser storage | Groups the pages you view in one visit | Until you close the tab |
sekhn_first_touch | Browser storage | Remembers how your visit started, for the enquiry form | Until you close the tab |
sekhn_chat | Browser storage | Keeps your chat conversation as you move between pages | Until you close the tab |
_ga, _ga_RVDVJQMW8D | Google Analytics cookies | Tell visitors and visits apart for Google Analytics | Up to 2 years |
sekhn_ads_consent | Browser storage | Remembers whether you allowed Meta's advertising cookies | One year |
sekhn_fbclid | Browser storage | Keeps the click ID from one of our Meta ads during your visit. It only goes to Meta if you allow Meta's cookies | Until you close the tab |
_fbp, _fbc | Meta advertising cookies, only if you allow them | Tell Meta which visits and ad clicks come from the same browser | Up to 90 days |
When the booking calendar opens, Calendly may set its own cookies under Calendly's privacy notice. You can block or clear cookies and browser storage in your browser settings, and the site still works without them.
Advertising
If you reach our site from one of our ads, the campaign tags in the link (and Google's click ID, for Google ads) are recorded with your visit and any enquiry, so we can tell which ads work.
If you fill in one of our lead forms on Facebook or Instagram, Meta passes us the details you entered, and we treat them like an enquiry from our website. As we work through the enquiry, we tell Meta each stage it reaches, for example a call booked or a new client. Each update carries the form's Meta lead ID and a scrambled copy of your email address and phone number, so Meta can match it to your form and show us which ads led to calls and clients.
Our website uses the Meta Pixel only if you allow it. A banner asks the first time you visit. If you allow Meta's advertising cookies, Meta's script records the pages you view and tells Meta when you send an enquiry or book a call in the chat. Our server sends Meta the same enquiry or booking with your IP address, browser details, country and a scrambled copy of your analytics visitor ID, and for an enquiry, a scrambled copy of your email address, phone number and name. Meta uses this to show us which ads bring people to the site and to show our ads to people who have visited. We don't send Meta your message or the type of business you chose.
If you say no, our website sends nothing to Meta. You can change your choice at any time.
What we collect outside the website
Clients and people we talk to
If you work with us, or talk to us about working together, we keep the contact details of the people we deal with, our emails and messages, notes from calls and meetings, quotes, invoices and payment records, and the work we do for you, including your comments and approvals.
Proposals and documents we share by link
When we send a proposal, mockup or document as a link, we record when it is opened, the device and browser, the approximate location (city and state), how long is spent on each page, whether videos are played or files downloaded, and any comments left on it. Our team gets a message when a link is opened.
If we contact you about our services
We sometimes email healthcare businesses we think we can help. We only use work contact details the business has published, for example on its website, and we record where we found them. Before getting in touch or before a call, we may also look at public information about the business, such as its website, Google reviews, ABN details and LinkedIn.
These emails come from our team members' own mailboxes. They contain a small image that tells us when an email is opened, and some contain links that tell us when they are clicked. To stop hearing from us, reply "stop" or use the unsubscribe link, and we will add your address to our do-not-contact list.
Health information
We don't need health information about you or your patients to do our work, and we don't work inside systems that hold patient records. Please leave patient details out of forms, chat messages and emails to us.
How we use your information
We use personal information to:
- reply to enquiries and chat questions, and arrange calls
- provide our services, send quotes and invoices, and manage our work with clients
- send the newsletter you signed up for, and tell businesses about services relevant to their work
- see which pages, articles, ads and channels bring people to us, and improve the site
- show our ads on Facebook and Instagram to people who have visited our site and allowed Meta's cookies
- keep our systems secure and stop spam and misuse
- meet our legal obligations, such as keeping tax records
We don't sell personal information.
How we use AI
AI answers questions in our website chat. Inside our own systems, it helps our team summarise conversations, prepare for calls and draft emails and documents. Our team checks anything AI drafts before we send it. No computer program makes decisions about you that significantly affect your rights or interests.
Who we share it with
We use outside service providers to run our website and business, for hosting, databases, email, call bookings, analytics, advertising, AI and team messaging. They store or process personal information so they can provide those services to us. We may also disclose information when the law requires it, for example to a regulator or a court.
Information stored outside Australia
Website enquiries and chat conversations are stored in Sydney. Most of our other providers are United States companies, and they may store or process information in the United States and other countries where they operate.
How we protect and keep it
Information travels over encrypted connections. Our databases can only be reached by our own systems, and our internal systems need a team login. Only people on our team who need information can see it.
We keep personal information for as long as we need it for the purposes above, or as long as the law requires us to, and then delete it or remove what identifies you.
Your choices
- You can browse the site and use the chat without giving your name. We need your contact details to reply to an enquiry.
- Every newsletter has an unsubscribe link, and you can reply "stop" to any other email from us.
- You can block Google Analytics cookies, or clear our visitor ID by clearing your browser's data for our site.
- You can allow or refuse Meta's advertising cookies in the banner, and change your choice in the Advertising section of this page.
- You can ask us not to contact you again by emailing info@sekhn.com.
Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing info@sekhn.com. We will reply within 30 days. If we can't give you access, we will tell you why.
Complaints
If you are unhappy with how we have handled your personal information, email info@sekhn.com and tell us what happened. We will reply within 30 days. If you are not satisfied with our reply, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We update this page when what we collect, or how we use it, changes. The date at the top shows the last update.
